A monthly social media report template clients actually read

A good report is short, compares this month to the goal, and says what changes next. That's the whole structure of this sheet: a 3 sentence summary at the top, results against targets, one row per channel, the 5 best posts with a line on why they worked, and 3 changes for next month.

It's built for agencies and in-house teams reporting to someone who has 5 minutes. The engagement rate column calculates itself when you fill in engagement and reach, and the delta column shows the gap to target without you doing the subtraction.

How to use it

    Download the file, fill in the client, month, and your name at the top, and delete the channel rows you don't manage.

    Paste the month's numbers into the per channel table. Engagement rate fills in on its own once engagement and reach are there.

  3. 3

    Copy the 3 KPIs from your strategy into Results vs goal, with their targets. The delta column shows the gap.

  4. 4

    Pick the top 5 posts by engagement and write one honest line each on why they worked. This is the part clients read.

    Write the summary last, when you know the story. Then list 3 changes for next month and who owns each.

    Save as PDF or share the sheet. If you send the same report monthly, keep last month's file next to it so trends are visible.

What makes a report get read

Lead with the sentence, not the chart

Three sentences at the top mean a client can stop reading after 20 seconds and still know how the month went.

Compare to target, then to last month

A number on its own is noise. Against the target it's a result. Against last month it's a trend.

Explain the top posts

A line like 'this one answered a question people ask in DMs' is worth more than the number next to it. It tells the client what to do more of.

End with changes, not thanks

The last thing in the report should be what you're doing differently next month. That's what turns a report into a plan.

Social media report template questions

A short summary, results against the goals you agreed, the numbers per channel (impressions, reach, engagement, engagement rate, follower growth), the best posts and why they worked, and the changes for next month. That's the 5 sections in this sheet.

Engagement divided by reach, per channel, as a percentage. The formula is already in the column and stays blank until both numbers are in. If you'd rather use impressions as the base, change the formula in one cell and copy it down.

In the sheet, add a logo in the top row and change the header colors.
